Email Signature Generator
Enter your details, pick a template, and copy a professional HTML signature straight into Gmail, Outlook or Apple Mail — in about a minute.
🔒 Nothing you type here leaves your browser — the signature is assembled and copied locally, so your phone number and email are never sent to us.
How to install your signature
- Gmail — Copy the signature, then open Gmail settings → See all settings → General → scroll to Signature → Create new → paste with Ctrl+V (Cmd+V on Mac) → Save Changes. Illustrated walkthrough: how to add a signature in Gmail.
- Outlook on the web — Settings (gear icon) → Mail → Compose and reply → Email signature → paste → Save.
- Outlook desktop (Windows) — File → Options → Mail → Signatures → New → paste. Or open the downloaded .html file in your browser, select all (Ctrl+A), copy, and paste into the signature editor.
- Apple Mail — Mail → Settings → Signatures → + → paste. Uncheck "Always match my default message font" so the formatting stays intact.
After installing, send yourself a quick test email — it takes ten seconds and catches every surprise.
What makes a good email signature
- Four or five lines, maximum. Name, title, one or two ways to reach you, maybe a link. Anything longer becomes wallpaper.
- Plain fonts win. Email clients substitute fonts unpredictably — these templates use Arial/Helvetica on purpose, because that choice renders the same everywhere.
- Keep images small. A photo around 84px and a logo around 48px tall look crisp without drowning the message.
- Check your local rules. If you send business email from some countries (Germany, for example), company registration details in the footer aren't optional — they're the law.
- Link only what you use. Three social profiles you actually post to beat six you don't.
Frequently asked questions
Is this email signature generator free?
Yes, completely free. No account, no signup, no watermark and no trial that runs out. Build and copy as many signatures as you like.
Will my signature work in Gmail?
Yes. Copy the signature, open Gmail settings, go to the Signature section and paste it in with Ctrl+V. Gmail keeps the layout, links, colors and images. Our step-by-step Gmail guide walks through every screen.
Does it work in Outlook and Apple Mail?
Yes. The templates are built with email-safe table HTML and a plain Arial font stack, which is exactly what Outlook, Apple Mail and Gmail render reliably. Fancy web fonts and CSS grids are avoided on purpose.
Why is my photo or logo not showing?
Images must be hosted at a public web address to display in email. Paste a link to a photo you've uploaded somewhere public, and it will load in the preview and in recipients' inboxes. Some recipients will still need to click "Display images" the first time.
Can I include my handwritten signature?
Yes. Create a free transparent PNG with our signature generator, host it anywhere public, and paste its URL into the handwritten signature image field. It appears under your contact details in every template.
Do you store my details?
No. The signature is assembled, previewed and copied entirely inside your browser. Your name, phone number and email address are never sent to us.
Can I add the signature to Gmail on my phone?
The Gmail mobile app has its own text-only signature setting. Turn off "Mobile Signature" in the app settings (Settings → your account), and the app falls back to the signature you set on the web — images included.
